Client Support

Employment Status:       Full-time – Contracted Position

PRIMARY PURPOSE:  To be a welcoming face of Global Gathering Place (GGP) and set the tone for the community’s experience with GGP.

NATURE OF WORK: Reporting to the Community Relations Manager, Client Support is primarily accountable for creating a welcoming and professional environment in the Global Gathering Place. He/she will be one of the first points of contact for those engaging with GGP staff, programs and/or services. Client Support will provide individual assistance to clients coming to the front desk including conducting registrations, addressing immediate needs, and making referrals. Within the position are diverse administrative and reception duties that support the daily operations of the agency.

ACCOUNTABILITIES

The Client Support is accountable for the development and implementation of processes which ensure GGP is a welcoming environment which includes the following:

Relationship Management/Partnerships

  • Welcome, register, and provide critical contact to clients.
  • Provide excellence in client service through effectively handling all telephone, emails, faxes, and in-person inquiries, and exercises discretion and accuracy as to the referral of inquiries.
  • Ensure the welcoming environment is consistent with the values and mission of the GGP.
  • Work with clients in a culturally sensitive manner.
  • Build and maintain working relationships with GGP clients, staff and volunteers.
  • Ensure all correspondence with stakeholders represents GGP as a professional, welcoming, and resourceful organization.
  • Respond to inquiries in a professional, timely, and accurate manner.

 Operations

  • Keep up to date on GGP and community services program and services in order to be able to respond to and redirect general inquiries in a timely and accurate manner.
  • Sustain a network of resources to ensure clients and staff members have access to information of available internal and external programs and services.
  • Input client data, and maintain database and file management.
  • Assist with the basic administrative duties such as processing donations, emailing, van scheduling, and mail outs.

The Client Support staff will perform other duties as assigned.

REQUIRED QUALIFICATIONS and EXPERIENCE:

Education: Completed at least some post-secondary  

Experience: A minimum of 2 years working with the public in an office environment, preferably in a social services related sector.

  • Experience in a cross-cultural setting is considered an asset.
  • Excellent verbal and written communication skills are essential and the ability to speak another language is considered an asset.
  • Demonstrated computer proficiency with MS Word, Excel and Outlook are required.
  • A combination of education and experience will be considered.
  • A Criminal Record Check including the section relating to working with vulnerable persons in good standing order is required.
